The rota comes off the back-room door.

Build the week, watch what it costs as you go, and put it on every phone — nobody makes an account.

What this usually looks like

Eight part-timers, two keyholders, and a rota that lives as a photo in the group chat. Someone swaps a Saturday in the replies, the photo never changes, and at nine on Saturday you find out which version people believed. At month end you read the hours back off the photo for payroll.

What happens instead

So the week gets built on the schedule. Each person's rate is already on the roster, so the totals under the week say what it costs while you're still moving shifts around — before anyone has been promised anything. You publish, and everyone's week reaches their phone: onto their calendar if they've linked one, otherwise by email with their own link, which opens without an account or an app and shows the rota as it stands, not as it was photographed. When Priya can't make Saturday she says so on the shift itself, with a comment, so the swap happens on Tuesday — Dev's new Saturday goes out to Dev when you publish the fix, and nobody else's week makes a sound. At month end the hours and the cost come out as a spreadsheet.

The rota is on their phones, and it's never stale

Publish and each person's week lands on their calendar, or arrives by email with their own link — no account, no app to install. The link shows the schedule as it stands today, not as it stood when someone photographed it.

Know what the week costs before you post it

Rates live on the roster, and the totals under the week add up hours and cost per person while you're still building it. The week you publish is a week you've already priced.

Cover problems surface on Tuesday, not Saturday

Anyone can confirm or decline a shift from their link, with a comment, and the answer lands on the shift where you're looking — while there's still week left to fix it in.

Payroll is an export, not an evening

Any period's hours and cost come out as a spreadsheet, per person and in total — read off the same shifts you published, not re-added from a photo.
