What this usually looks like

Three crews, eleven jobs, and a whiteboard by the office door that's right until the first callback. The crews photograph it on the way out; by ten the afternoon has been reshuffled over the phone and the photo doesn't know. Mileage is a guess at month end, and the lead who wants to swap Tuesday around has to do it through you, because the board doesn't travel.

What happens instead

So the day gets built as shifts with the job's address on each one, and publishing puts every crew member's day on their phone — their calendar if their account is linked, otherwise their own link, no account needed. Each crew is a team and its lead is the team's manager, so Tuesday gets reshuffled from a phone in a driveway, on that crew's shifts and nobody else's — and every link shows the day as it stands, not as it looked at eight. Miles go on the shift at that person's rate on the day they're driven, not reconstructed in November. And when the property manager asks what October's visits came to, the month's hours, mileage and cost total per person and print as an invoice.

The address rides with the shift

Every shift carries where to be and when, on each person's own phone — not photographed off a board that stopped being true at ten past eight.

Leads schedule their own crews

Each crew is a team, and a team's manager moves their own people's shifts — and only their own. The office still sees the whole board, and rates and costs stay with the office.

Mileage goes down the day it's driven

Miles live on the shift at that person's rate. The month's total is a number you read off, not an estimate you defend.
